The count itself is therefore mostly manual and paper-based. The quantities determined are noted on the inventory list and then entered manually in SAP Business One. Alternatively, it is also possible to enter the counted items of stock in a predefined Excel template and then import them into the system. Although this procedure can make things a little easier, it requires the file to be formatted precisely and it is no substitute for end-to-end digital support.

The inventory process in the SAP standard solution is designed to be reliable and is also practical for smaller warehouse stock. In practice, however, the process is associated with a number of challenges—especially when larger quantities need to be counted or the inventory is carried out under time pressure.

The manual recording of counted quantities is time-consuming and increases the risk of transfer errors. Automatic plausibility checks—for example, if defined tolerance limits are exceeded—are not provided for in the standard solution. Notes regarding discrepancies or incorrect entries must either be added manually or implemented via additional approval and review mechanisms. However, these only take effect when the count values are recorded by the system—not during the actual count in the warehouse. In addition, there is no mobile or digitally supported method of conducting the count—for example, using handheld scanners, tablets, or mobile apps. This functionality can only be added by means of external extensions.

In summary, the inventory function in SAP Business One reliably maps the essential steps of inventory counting, but in many companies it still involves manual intermediate steps that can slow down the process and make it prone to errors.
