The employee then just has to enter the counted quantity on the handheld scanner. If the counted quantity exceeds the actual inventory or a tolerance limit that you have defined, an error message appears on the display of the barcode scanner. This will automatically prompt your employees to make another correction to the count.

In principle, the items on the inventory list can be counted in any order. For a clear representation on the scanner, items that have already been counted can be hidden on the inventory list within the digital inventory in SAP Business One. Furthermore, new items that are not on the inventory list from SAP Business One can be added easily. The counted inventory quantities are transferred individually to SAP Business One with an inventory stamp when the line items are posted.

The “Cycle Count Recommendations” module in SAP Business One enables users to perform inventory. As a prerequisite for actually being able to perform inventory, inventory cycles need to be defined and cycle count recommendations need to be assigned to the desired items. Within the “Cycle Count Recommendations” module in the ERP system, a recommendation is assigned to each item in the form of a Cycle Code. Based on this code, employees know the frequency with which the item must be counted.

For the actual inventory, the desired items are assigned to the inventory count. Items that do not necessarily need to be counted can be excluded when creating the inventory list in SAP Business One. Once the list is complete, it can be printed out and used for the inventory count. Armed with the printed inventory list, employees then proceed to count all the items in stock and note the quantities on the list. Once the inventory is complete, the counted quantities must then be recorded manually in SAP Business One. Manual data collection not only involves a high risk of error, but also takes up a vast amount of unnecessary time. Furthermore, unlike a digital inventory where an error message is generated automatically when tolerance limits are exceeded and the employee is prompted to check the items again, here there is no guarantee that employees will not make mistakes when counting.
